Recommendation Report for an Employee Meeting on Food Theft

 

 

INTRODUCTION

 

For the past ten months here at InfiniTea, we have allowed each employee to have one free food menu item and one free drink menu item every day they work.  However, it has recently been communicated to us that some employees have been taking more food than they are allotted each day.  Two of the employees have been pilfering up to five menu items each day for the past two weeks.  This abuse of generosity has caused us to come to a conclusion regarding how to deal with this issue.

 

 

THE PROPOSITION

 

We don’t want to immediately fire the two employees because, despite their pilfering, they are both hard workers and customer-focused employees and we would like to give them a second chance.  That is why we propose hosting a meeting that will discuss the mistreatment of company goods and the consequences of stealing from the company. 

 

The Presentation

 

The presentation during the meeting will be focused on the importance of company loyalty and the legal consequences of taking advantage of company property.  You will inform the employees that if this habit continues, complimentary food will no longer be available and that employees could be laid off or could face possible legal action.

 

As Manager, you will be conducting the meeting and giving the presentation, but we will give you a written report that will relate all of the necessary facts and important information that you will need to communicate at the meeting.  We will also create a PowerPoint slideshow for you to present at the meeting which will contain all of the important points to discuss.  This and the written report will both be sent to you via e-mail.

 

We will also discuss the problem with Crystal Lewis, the Assistant Manager, and have her help you in whatever way you might need.  

 

Memos

 

A memo will be handed out to notify the employees of the meeting and to give them all of the necessary information.  The memo will tell them the nature of the conference and that it is a mandatory, paid meeting. 

 

Time and Date

 

Due to conflicting employee schedules, we suggest that you hold two meetings on separate dates.  These meetings will be mandatory, so we need to guarantee that every employee will be able to attend at least one meeting.

 

InfiniTea will be closed for one hour for each meeting.  Since the meetings are not optional for employees, they will be paid for the hour spent.  It is also necessary that the customers are notified ahead of time so that they know the shop will be closed for an hour.

 

Instructions

 

In this section we have included our recommendations on how to deal with this situation and some suggestions on how to set up the meetings:

  1. Examine the company calendar and employee schedule.

  2. Choose two dates and times, making sure that every employee can make it to at least one meeting.

  3. Hand out memos notifying the employees of the meetings two weeks in advance.

  4. Post a bulletin inside of the shop notifying customers of the temporary store closures.

  5. Close the store for one hour on the correct dates.

  6. On the chosen dates, 15 minutes before the meetings, set up the projector in the upper floor and arrange the chairs.

  7. After each meeting, clean up the shop and re-open.

 

CONCLUSION

 

If the theft continues after the presentation, we have no choice but to discharge the two employees.  However, we feel optimistic that if they are reminded of the severity of the consequences, they will cease this behavior and continue to be good assets to our company.
